New Multi-Jobs Module
You are used to managing various activities, such as reports and jobs, in Ultimo. Practically speaking though, you might sometimes want to bundle these activities. You want a intelligent way of indicating that certain activities belong together and depend on each other in terms of sequence, for example. A simple report could mean that several departments/back offices need to perform activities to deal with said report. So from now on, use the Multi-Jobs module to coordinate and conclude multidisciplinary activities in an intelligent and simple manner.
Here are two examples of ways to use this functionality:
New employee. Before a new employee can make a proper start, various back offices need to perform a variety of activities. These may include: installing furniture, setting up a PC, installing the necessary software, arranging an access card, and arranging a mobile telephone. These are often activities that can only be performed once an earlier activity has been completed.
Mini project. This might for example include creating a network connection. The IT and Construction Management back offices work together to realise the project: the construction manager lays the cables and the IT department is responsible for the patching.
Use the established templates and dependencies between the various activities, to schedule and perform the individual activities in an intelligent manner within the established deadline. You can determine yourself whether to allow Multi-Job start-ups through a simple report via Self Service or only via an authorised employee. Creating a Multi-Job uses one of the established templates, but thanks to its flexible nature, you can still perform changes in a separate Multi-Job, for example by scrapping an activity, by adding an additional activity, or by scheduling an irregular activity. On-charging expenses is easy to set up for all related activities.
The person requesting the Multi-Job and other people/back offices involved can gain insight at any time into a Multi-Job status. E-mail reminders also actively inform them of important status changes in the process. The Multi-Job planner (a Gantt-diagram) is a handy tool that allows immediate insight into the status of any Multi-Job with individual activities. This gives you access to a Multi-Job status and its corresponding activities at a glance. Multi-Job provides insight not only into the total of planned turn around times, but separate turnaround times for the underlying activities as well, and you can see the mutual dependencies these activities share. If you are authorised to do so, you can even access the diagram directly and adjust the scheduling that way.
The manager or ultimately responsible person can use reports to check the progress on Multi-Jobs and check for any potential problems. They also have access to financial reports that provide insight into such things scheduled, actual, and charged-on Multi-Jobs expenses and their underlying activities.
Multi-Jobs is an optional module and available for all of our products (with the exception of our Lite products).
